Smallicombe Farm (‘the Group’), and our affiliated Smallicombe Farm companies worldwide, are committed to respecting your online privacy and recognise your need for appropriate protection and management of any personally identifiable information (hereafter “personal information”) you share with us.

Smallicombe Farm has established this online privacy policy so that you can understand the care with which we intend to treat your personal information.

Personal information means any information that may be used to identify an individual, including, but not limited to, a first and last name, a home or other physical address, an email address or other contact information, whether at work or at home. However, you can visit the Group’s website pages without telling us who you are or revealing any personal information about yourself.

If you choose to provide us with your personal information on the website, we may transfer that information within the Group or to the Group’s third-party service providers, across borders, and from your country or jurisdiction to other countries or jurisdictions around the world.

You agree that where you provide us with sensitive personal data that we may use such data on an anonymised basis for the purposes of monitoring and producing anonymised reports.

The Group strives to comply with all applicable laws around the globe that are designed to protect your privacy. Although legal requirements may vary from country to country, the Group intends to adhere to the principles set forth in this online privacy policy even if, in connection with the above, we transfer your personal information from your country to countries that may not require a high level of protection for your personal information.

Smallicombe Farm (we, our, us) takes your privacy very seriously and will only use your personal information to provide the products and services you have requested from us. 


Visitors To Our Website/s

When someone visits www.smallicombe.com, our main corporate website or any of our related websites or microsites we collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. We collect this information in a way which does not identify anyone. We do not make any attempt to find out the identities of those visiting any of our websites. We will not associate any data gathered from these sites with any personally identifying information from any source. If we do want to collect personally identifiable information through our website, we will be up front about this.

We will make it clear when we collect personal information and will explain what we intend to do with it.

Information We May Collect From You

We may collect and process the following data about you and your business in the following ways:
a) Information that you provide by filling in forms on our Website, giving to the telephone helpline or generally speaking with members including at shows, promotional events. We may also ask you for information when you enter a competition or promotion sponsored by us and when you report a problem with our Website.
b) If you contact us, we will keep a record of that correspondence as we deem appropriate.
c) We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.
d) Smallicombe Farm operates a booking engine. The booking engine, collects and stores information that you give when you make a booking. You are asked for your name, address, telephone number and email along with the names of any guests travelling with you. The booking engine does not collect payment information. This information may also include your IP address.

This information is stored in the Smallicombe Farm system in order to process your booking. You will be contacted by the Property you have booked with in relation to your booking. Your data is also stored after you have stayed but will be kept no longer than necessary in order to comply with legal obligations and for properties to welcome your repeat business.

How Smallicombe Farm Collects Information

We may use your personal information and data in the following ways:
a) To complete the request made such as to provide a brochure, give information about vacancies or to give other requested information.
b) In the case of the booking engine, the information will be retrieved by us and used to provide the service requested. 

Sensitive Personal Data

We do not collect sensitive personal data (such as disability, racial / ethnic origin, allergies, religious beliefs, etc) unless it is volunteered by you. However, in order to tailor product offers to your circumstances we may sometimes ask for information such as any disability you may have.  

As with all data, it is entirely up to you to decide whether or not you are happy to provide this information. Sensitive personal data will only be used in order for us to fulfil our contract with you to provide the services that you have requested, (for example, telling you about members with the provision of disability access). You do not need to provide us with personal information simply to browse our website.

Consent

We will assume that if you continue to use our site after reading this legal notice, that you consent to the terms of our use of cookies during your visit to any of our websites and/or microsites.

By using this website you consent to the terms of our online privacy policy and to the Group’s collection and processing of personal information on the website for the purposes given above. Should the online privacy policy change we will endeavour, by taking every reasonable step, to bring this to your attention.

Whilst every precaution is taken by Smallicombe Farm to ensure that the integrity of the data is kept secure, we cannot be held liable for the data being processed by Google Drive or any data breach caused by the data being routed via Google Drive. Your use of Google Drive is subject to your agreement to Google’s terms and conditions. You further agree that Smallicombe Farm can transfer your data via Google Drive and for such data to be processed by third parties as required for the purposes of transmitting your data to Smallicombe Farm.

The Group websites contain links to external websites. Please note that we are not responsible for the privacy practices of any websites other than our own.

Non-disclosure To Third Parties

Aside from member farms’ use of the booking engine, Smallicombe Farm does not share your data with any other company or individuals for marketing purposes or otherwise.

We may share your data with agencies such as law enforcement or governmental organisations where we are required to make such disclosures by any applicable law.

Our website includes links to social media features such as the Facebook. These features may collect your IP address, which page you are visiting on our site, and may set a cookie to enable the feature to function properly. Social media features and widgets are hosted by a third party. Your interactions with these features are governed by the privacy policy of the company providing it.

Children

This site is not meant for use by anyone under the age of 18.

None of the Group’s websites are structured to attract children. Accordingly, we do not intend to collect personal information from anyone we know to be under 16 years of age. Should we discover that any such personal information has been delivered to us, we will remove that information as soon as possible.

Security Procedures

In accordance with General Data Protection Regulation (GDPR), Smallicombe Farm observes reasonable procedures to prevent unauthorised access and misuse of personal information. We use appropriate business systems and procedures to protect and safeguard any personal information given to us. We also use security procedures and technical and physical restrictions for accessing and using the personal information on our servers. Only authorised personnel are permitted to access personal information in the course of their work.

Interactive Services

We may from time to time provide interactive services on our site, including, without limitation:
– Chat rooms
– Bulletin boards

Where we do provide any interactive service, we will provide clear information to you about the kind of service offered, if it is moderated and what form of moderation is used (including whether it is human or technical).

We will do our best to assess any possible risks for users (and in particular, for children) from third parties when they use any interactive service provided on our site, and we will decide in each case whether it is appropriate to use moderation of the relevant service (including what kind of moderation to use) in the light of those risks. However, we are under no obligation to oversee, monitor or moderate any interactive service we provide on our site, and we expressly exclude our liability for any loss or damage arising from the use of any interactive service by a user in contravention of our content standards, whether the service is moderated or not. 

The use of any of our interactive services by a minor is subject to the consent of their parent or guardian. You need to email or write to us to request an overview of your personal data. if you believe that they are no longer entitled to use your personal data or if you have any other questions about how your personal information is used or about the Privacy Statement. 

Your rights include asking us to not to process your data for marketing purposes or contacting us if you feel we have used your data inappropriately.

Notice

Where the Group collects personal information on the website, we intend to post a purpose statement that explains why personal information will be collected and whether we plan to share such personal information outside of the Group or those working on the Group’s behalf. The Group does not intend to transfer personal information without your consent to third parties who are not bound to act on the Group’s behalf unless such transfer is legally required.

Choice

You may choose whether or not to provide personal information to the Group. The notice we intend to provide where the Group collects personal information on the web should help you to make this choice. Third parties provide certain services available on www.smallicombe.com on the Group’s behalf. The Group may provide personal information that we have collected on the website to third party service providers to help us deliver programmes, products, information, and services. Service providers are also an important means by which the Group maintains its website and mailing lists. The Group will take reasonable steps to ensure that these third-party service providers are obligated to protect personal information on the Group’s behalf.

The Group does not intend to transfer personal information without your consent to third parties who are not bound to act on the Group’s behalf unless such transfer is legally required.

Breach Of This Policy

When we consider that a breach of this acceptable use policy has occurred, we may take such action as we deem appropriate.

Failure to comply with this acceptable use policy constitutes a material breach of the terms upon which you are permitted to use our site, and may result in our taking all or any of the following actions:

Which Country’s Laws Apply to Any Disputes?

Please note that these terms of use, their subject matter and their formation, are governed by the laws of England and Wales and you and we both agree that the courts of England and Wales will have exclusive jurisdiction.
